At VXR District, we strive to provide exceptional virtual reality experiences. This Refund Policy outlines the circumstances under which refunds, cancellations, and modifications are available for our services.
IMPORTANT: Please read this Refund Policy carefully before making any purchases or bookings. By completing a transaction, you acknowledge and agree to the terms outlined in this policy.
1. General Refund Policy
VXR District offers refunds under specific conditions as outlined below. All refund requests are subject to review and approval.
1.1 Eligibility for Refunds
Refunds may be granted in the following circumstances:
- Cancellations made within the specified timeframe (see Section 2)
- Technical issues preventing service delivery
- Facility closures due to emergencies or unforeseen circumstances
- Equipment malfunctions affecting the experience
- Medical emergencies (documentation may be required)
1.2 Non-Refundable Circumstances
Refunds will NOT be granted for:
- Change of mind or personal preference
- Failure to appear for scheduled bookings (no-shows)
- Late arrivals resulting in missed or shortened sessions
- Violations of our Terms and Conditions
- Completion of services as booked
- Subjective dissatisfaction with the experience
- Personal scheduling conflicts
2. Booking Cancellations and Modifications
2.1 Standard Cancellation Policy

2.2 How to Cancel or Modify Bookings
To cancel or modify your booking:
- Log into your account on our website
- Navigate to "My Bookings"
- Select the booking you wish to cancel or modify
- Follow the prompts to complete the cancellation or modification
- You will receive a confirmation email

2.3 Rescheduling Policy
- Bookings may be rescheduled free of charge if done more than 48 hours in advance
- Rescheduling within 24-48 hours may incur a $10 fee
- Rescheduling within 24 hours is not permitted
- Rescheduled bookings are subject to availability
- You may reschedule up to 2 times per booking
3. Membership Refund Policy
3.1 Membership Cancellation
Basic Membership:
- Monthly memberships: Cancel anytime with no penalty; refunds prorated to the day of cancellation
- Annual memberships: Refund available within 30 days of purchase (minus any benefits used)
- After 30 days: No refund, but membership benefits continue until expiration
Premium Membership:
- Monthly memberships: Cancel anytime; refunds prorated for unused portion
- Annual memberships: 50% refund available within 60 days (minus benefits used)
- After 60 days: No refund; membership continues until expiration
Elite Membership:
- Monthly memberships: Cancel anytime with prorated refund
- Annual memberships: Full refund within 90 days (minus benefits used)
- After 90 days: 25% refund available (minus benefits used)
3.2 Membership Freeze
- Premium and Elite members may freeze their membership for up to 3 months
- Basic members may freeze for up to 1 month
- Freeze requests must be made at least 7 days before the next billing cycle
- Membership expiration date extends by the freeze duration
- No refunds are provided for frozen memberships
4. Event and Group Booking Refunds
4.1 Private Events
- Cancellations 30+ days before event: Full refund minus $100 administrative fee
- Cancellations 14-29 days before event: 50% refund
- Cancellations less than 14 days before event: No refund
- Event deposits are non-refundable but may be transferred to a future date
4.2 Group Bookings (8+ participants)
- Cancellations 7+ days before booking: Full refund
- Cancellations 3-6 days before booking: 50% refund
- Cancellations less than 3 days before booking: No refund
- Reduction in group size: Refund for cancelled participants if notice given 48+ hours in advance
4.3 Corporate Packages
- Corporate bookings follow custom agreements
- Standard refund policy: 30 days' notice required for full refund
- Unused sessions from corporate packages may be refunded on a prorated basis
- Contact our corporate team for specific terms
5. Gift Cards and Vouchers
5.1 Gift Card Refunds
- Gift cards are non-refundable once purchased
- Unused gift card balance remains valid for 12 months from purchase date
- Expired gift cards cannot be refunded or reactivated
- Lost or stolen gift cards cannot be replaced or refunded
5.2 Promotional Vouchers
- Promotional vouchers have no cash value and are non-refundable
- Vouchers must be used by the expiration date
- Expired vouchers cannot be extended or refunded
- Voucher terms cannot be modified
6. Service Issues and Technical Problems
6.1 Equipment Malfunction
If equipment malfunction significantly affects your experience:
- Notify staff immediately during your session
- We will attempt to resolve the issue or provide alternative equipment
- If the issue cannot be resolved, you may receive:
- A full refund, OR
- A complimentary rescheduled session, OR
- Credit for future use
6.2 Facility Closures
If VXR District must close due to:
- Emergency situations
- Government mandates
- Natural disasters
- Technical failures
Affected customers will receive:
- Full refund, OR
- Credit for future use (with extended expiration), OR
- Priority rebooking once operations resume
6.3 Shortened Sessions
If your session is significantly shortened (more than 25% of booked time) due to our error:
- Partial refund proportional to lost time
- Complimentary additional session time
- Credit toward future bookings
7. Medical Emergencies and Health Issues
7.1 Pre-Session Medical Issues
If you cannot participate due to medical reasons:
- Contact us as soon as possible
- Provide medical documentation (doctor's note) if available
- We will work with you to reschedule or provide a refund
- Medical emergencies are evaluated on a case-by-case basis
7.2 During-Session Discomfort
If you experience discomfort during your session:
- Immediately notify staff and discontinue the experience
- We will assess the situation and may offer:
- A different VR experience
- Partial refund for unused time
- Credit for future use
- No refunds for discomfort due to pre-existing conditions disclosed in waivers
8. Weather and Travel Disruptions
- Severe weather conditions: Contact us to reschedule; no refund fees apply
- Travel disruptions: Treated as standard cancellation (see Section 2.1)
- Government travel restrictions: Full refund or credit provided
- Personal travel issues: Standard cancellation policy applies
9. Refund Processing
9.1 Refund Methods
Refunds will be issued using the original payment method:
- Credit card refunds: 5-10 business days
- Debit card refunds: 5-10 business days
- PayPal refunds: 3-5 business days
- Digital wallets: 3-7 business days
Processing time depends on your financial institution.
9.2 Alternative Refund Options
Instead of a monetary refund, you may choose:
- Account Credit: Receive 110% of refund amount as credit (never expires for members)
- Gift Card: Receive refund as a gift card (12-month validity)
- Upgrade Credit: Apply refund toward membership upgrade or premium experiences
9.3 Refund Processing Time
- Refund requests are reviewed within 2-3 business days
- Approved refunds are processed within 5-7 business days
- Complex cases may take up to 14 business days
- You will receive email confirmation when refund is processed
10. Disputes and Chargebacks
10.1 Contact Us First
Before initiating a chargeback with your financial institution:
- Contact our customer service team
- We will work to resolve the issue promptly
- Most disputes can be resolved within 48 hours
10.2 Chargeback Policy
- Unjustified chargebacks may result in account suspension
- We reserve the right to dispute invalid chargebacks
- Chargeback fees may be charged to your account
- Services will be suspended pending chargeback resolution
11. Special Circumstances
11.1 Military Deployment
- Active military personnel called to deployment receive full refund
- Deployment orders must be provided
- Memberships can be frozen for deployment duration
11.2 Bereavement
- Full refund or rescheduling provided in case of immediate family bereavement
- Documentation may be requested
- Extended rescheduling timeframe available
11.3 Pregnancy
- VR experiences are not recommended during pregnancy
- Pregnant customers may reschedule or receive full refund
- Medical documentation may be requested

- Full name as it appears on the booking
- Email address associated with the booking
- Payment method used (last 4 digits)
- Detailed explanation of refund reason
- Any relevant documentation or evidence
13. Exceptions and Modifications
VXR District reserves the right to:
- Make exceptions to this policy on a case-by-case basis
- Modify this Refund Policy with 30 days' notice
- Offer goodwill gestures or compensation at our discretion
- Refuse refunds for policy violations or abuse
